Manage subscription licensing

​As an administrator, you manage subscription licensing and entitlement for the organization. Entitlement refers to the workflows allowed per subscription license. A single subscription license can be used across multiple environments. When viewing usage data for your subscription license, note that usage refers to the current farm only. The numbers of available development and production workflows depend on the subscription license tier currently selected by your organization.

Import or export a license​

​The initial step after installing the product is to import your license. A license stores information about all servers in your organization.

To import a license

 

  1. On the Nintex Workflow Management page, click Licensing
  2. On the Licensing page, click the Import license file button. This step imports the .nlfx license file for the installed product and returns the ID. When you import a license, you overwrite the current license.
  3. In the License file section, click the Browse button to locate the (.nlfx) license file. Once the license file has been located, click the Import button.
    The license ID, type, and expiry date appears in the license card details.

 

To export a license

 

  1. On the Licensing page, click the Export license file button.
  2. Open or save the license file.

View entitlement and usage for your subscription license

 

​From the Subscription overview table, you can view entitlement and usage information for your subscription license. Entitlement refers to the workflows allowed for each subscription license. A single subscription license can be used. When viewing usage data for your subscription license, note that usage refers to the current farm only. The numbers of available development and production workflows depend on the subscription license tier currently selected by your organization.

Workflow entitlement and usageWith workflow based subscription licenses the number of workflows that can be published depends on the subscription entitlement. Published workflows that are not limited action workflows are counted towards your workflow usage. Each tenant has a subscription entitlement to determine how many production and development workflows can be published.
Some actions are considered as non-billable actions and are not counted towards the action count in a workflow.

Limited action workflows

Limited action workflows are not counted towards the workflow allowance for the tenant. A workflow is considered a limited action workflow when it has 5 or less than 5 billable actions. If the workflow has more than 5 billable actions it is counted as a billable workflow.

Billable and non-billable actions

A billable action is a workflow action used to construct production and development workflows that count towards the action count of the workflow.
Non-billable actions are actions that are not counted towards the action count in a workflow. For example, if a workflow has four billable actions and two non-billable actions, the action count of the workflow will be four as the non-billable actions are not counted.
The actions listed below are non-billable workflow actions:


  • Log in history list
  • Set Workflow Status
  • Commit pending changes
  • Pause for
  • State machine

Decrease subscription usage

If your organization is above its subscription usage entitlement, then you can delete unneeded workflows. Export the workflows first if you want to preserve them for later use. If your organization remains above entitlements after deleting unneeded workflows, then contact your administrator to increase your entitlements by upgrading your subscription license plan.

Run a usage subscription report

You can run a subscription compliance report. Per the terms in the Nintex Master Susbcription Agreement, you are required to submit this report to Nintex every quarter.

Upgrading from a previous version

After upgrading the product and importing your license, a timer job called Nintex Workflow Consumption Upgrade Job (running in the background) populates the columns in the Subscription overview table with your existing workflow data. By default, all existing workflows are marked as "production" workflows, and the workflow/action usage data is updated when the timer job has completed successfully.

The timer job is scheduled to run 20 minutes after your license is uploaded. Depending on the size or your farm (many site collections, web apps, and sites), the process may take some time to complete. Checking job status can help with troubleshooting.

To check job status

  1. From the Central Administration page, navigate to Monitoring, Timer Jobs, Check job status.
  2. View the status of the Nintex Workflow Consumption Upgrade Job.
